TERMS & CONDITIONS

These Terms & Conditions apply to all bookings made with Hen Retreats Ltd ("Hen Retreats", "we", "us", "our").

By making a booking with us, the lead booker confirms that they have read, understood and agreed to these Terms & Conditions on behalf of all guests within their group.

A legally binding contract is formed once a booking is confirmed and payment has been received.

  1. BOOKING & CONTRACTUAL RESPONSIBILITY

1.1 The lead booker is the primary point of contact for the booking and accepts responsibility for:

• All payments relating to the booking
• Communicating information to all guests
• Ensuring all guests comply with these Terms & Conditions
• Providing accurate guest information when requested

1.2 All guests attending the retreat are deemed to have accepted these Terms & Conditions.

  1. BOOKING & PAYMENT

2.1 A non-refundable booking deposit is required to secure the retreat.

2.2 The deposit amount and payment schedule will be detailed within the booking confirmation.

2.3 A booking is not confirmed until the deposit has been received.

2.4 The remaining balance must be paid in accordance with the payment schedule provided.

2.5 Failure to make payments by the due dates may result in cancellation of the booking, with payments already made being retained.

2.6 All prices are quoted in Great British Pounds (GBP) and include VAT unless otherwise stated.

  1. MINIMUM BOOKING VALUE

3.1 Hen Retreats are sold on a minimum booking value which will be clearly stated at the time of booking.

3.2 The minimum booking value cannot be reduced once the booking has been confirmed.

3.3 If guest numbers decrease after booking, the agreed minimum booking value remains payable.

3.4 Any costs arising from guest cancellations or reduced attendance remain the responsibility of the group.

  1. GUEST NUMBERS

4.1 Minimum and maximum guest numbers vary depending on the retreat package and venue selected.

4.2 Final guest numbers must be confirmed no later than 30 days before arrival unless otherwise agreed in writing.

4.3 Additional guests may be added subject to availability and payment of the applicable fee.

4.4 Hen Retreats reserves the right to refuse additional guests where operational limitations apply.

  1. CANCELLATIONS & REFUNDS

5.1 All deposits are non-refundable.

5.2 Where cancellation occurs within 30 days of arrival, all monies paid become non-refundable.

5.3 No refunds will be provided for:

• Guest cancellations
• Non-attendance
• Partial attendance
• Late arrival
• Early departure
• Reduction in guest numbers

5.4 Guests may transfer their place to another individual subject to approval and completion of all required registration forms.

An administration fee may apply.

  1. RETREAT PLANNING & OPERATIONAL CUT OFFS

6.1 Retreat planning begins in advance of each event.

6.2 From 30 days before arrival, the retreat becomes operationally fixed.

6.3 During this period Hen Retreats may begin:

• Allocating therapists
• Confirming catering
• Scheduling activities
• Finalising accommodation arrangements
• Purchasing supplies

6.4 Reductions in guest numbers are not permitted after this point.

  1. GUEST REGISTRATION

7.1 Guests may be required to complete registration forms prior to arrival.

7.2 Information requested may include:

• Dietary requirements
• Medical conditions
• Emergency contact details
• Therapy preferences
• Activity preferences

7.3 Failure to provide requested information may limit the services available.

  1. HEALTH & PARTICIPATION

8.1 Guests confirm they are physically and mentally able to participate in retreat activities.

8.2 Guests must inform Hen Retreats of any relevant medical conditions, injuries, medications or dietary requirements prior to arrival.

8.3 Participation in all activities is voluntary.

8.4 Guests may withdraw from any activity at any time.

  1. ASSUMPTION OF RISK

9.1 Retreat activities may include wellness experiences, workshops, movement practices, therapies and outdoor activities.

9.2 Participation may involve physical, emotional or psychological responses.

9.3 Guests participate entirely at their own risk.

9.4 To the fullest extent permitted by law, Hen Retreats Ltd, its staff, contractors, facilitators and venue partners shall not be liable for injury, illness, loss or damage arising from participation in retreat activities.

9.5 Nothing in these Terms excludes liability where exclusion is prohibited by law.

  1. VENUE SERVICES

10.1 Accommodation, catering, therapies, facilities and activities may be provided by third party venues and service providers.

10.2 Hen Retreats Ltd acts as organiser and facilitator of the retreat experience.

10.3 Venue operators remain responsible for the operation, maintenance and safety of their premises and facilities.

  1. DAMAGE & SECURITY DEPOSIT

11.1 Where required, a security deposit may be taken from the lead booker.

11.2 The deposit may be used to cover:

• Damage to property
• Missing items
• Excess cleaning
• Breach of venue rules

11.3 Where costs exceed the value of the security deposit, guests remain liable for the full amount.

  1. GUEST CONDUCT

12.1 Guests must treat:

• Staff
• Facilitators
• Venue personnel
• Other guests
• Property

with respect at all times.

12.2 Hen Retreats reserves the right to terminate participation without refund where behaviour is:

• Disruptive
• Aggressive
• Unsafe
• Illegal
• Excessively intoxicated
• Damaging to property

  1. ILLEGAL ACTIVITY

13.1 Hen Retreats operates a zero tolerance policy towards illegal activity.

13.2 This includes:

• Illegal drugs
• Threatening behaviour
• Criminal activity

13.3 Any guest engaging in such behaviour may be removed immediately without refund.

  1. TRAVEL INSURANCE

14.1 Guests are strongly encouraged to obtain suitable travel insurance.

14.2 Insurance should cover:

• Cancellation
• Medical expenses
• Personal injury
• Personal belongings

  1. PHOTOGRAPHY & MARKETING

15.1 Hen Retreats Ltd and its venue partners may photograph or film parts of retreats for marketing purposes.

15.2 By attending, guests consent to their image being used in:

• Social media
• Advertising
• Marketing materials
• Website content

15.3 Guests who do not wish to appear in photographs must notify staff prior to arrival.

  1. CCTV

16.1 CCTV may operate at participating venues.

16.2 Appropriate signage will be displayed where CCTV is in operation.

  1. PRIVACY

17.1 Personal information is collected only for the purpose of administering bookings and delivering retreat services.

  1. FORCE MAJEURE

18.1 Hen Retreats shall not be liable for failure to perform services due to circumstances beyond its reasonable control including:

• Severe weather
• Natural disasters
• Government restrictions
• Acts of God
• Utility failures
• Transport disruption

18.2 Where possible, alternative dates or credits may be offered.

  1. AMENDMENTS

19.1 Hen Retreats reserves the right to update these Terms & Conditions at any time.

19.2 The version in force at the time of booking shall apply.

  1. GOVERNING LAW

20.1 These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

20.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
